Key Responsibilities

Administrative & Leadership Support

    • Support the Sales, Service, and Executive Leadership teams with day-to-day administrative needs.
    • Manage calendars, appointments, meetings, and scheduling.
    • Prepare reports, presentations, meeting agendas, and correspondence.
    • Organize digital files and maintain company documentation.
    • Assist with customer communication and follow-up.
    • Help coordinate internal meetings and company events.

Operations & Project Coordination

    • Navigate and maintain information within our construction management software.
    • Scan, organize, and maintain architectural plans and project documentation.
    • Track project information and assist with scheduling milestones.
    • Support process improvements and help create efficient administrative systems.
    • Assist with special projects as assigned.

Vendor & Purchasing Coordination

    • Communicate with trade partners and vendors to obtain pricing, lead times, product availability, and other project-related information.
    • Assist with purchasing and procurement activities, including requesting quotes, comparing pricing, tracking orders, and following up with vendors.
    • Maintain strong professional relationships with suppliers and trade partners while ensuring timely communication.

Qualifications

    • 3+ years of administrative, operations, executive assistant, or project coordination experience preferred.
    • Purchasing, procurement, or vendor coordination experience is a plus.
    • Experience in construction, real estate, architecture, design, or a related industry is preferred but not required.
    • Strong written and verbal communication skills.
    • Excellent organizational and project management abilities.
    • High level of computer proficiency and ability to quickly learn new software.
    • Experience with AI tools such as ChatGPT, Microsoft Copilot, or similar productivity platforms is a plus.

Position Overview

The Superintendent plays a critical role in supporting the successful delivery of high-end residential construction projects..

The Superintendent will work closely with Project Managers and clients to ensure projects are delivered on time, within budget, and to the highest quality standards.

Compensation: $18-$25/hr, depending on experience

Key Responsibilities

Project Coordination & Execution
- Support day-to-day project operations including scheduling, subcontractor coordination, and quality control
- Assist in managing project documentation, reporting, and communication across all stakeholders
- Participate in project lifecycle activities from preconstruction through closeout
- Help ensure adherence to project schedules and milestones

Financial Management
- Assist with budgeting, cost tracking, and forecasting
- Support change order (CO) management and contract administration
- Review invoices and monitor cost-to-complete projections
- Contribute to maintaining project profitability and budget accuracy

Client & Stakeholder Engagement
- Participate in client meetings and project updates
- Support communication with clients, architects, and trade partners
- Develop professionalism aligned with high-end residential expectations

Preconstruction & Planning
- Assist with procurement, subcontractor selection, and scope development
- Support preconstruction planning including budgeting and scheduling inputs

Leadership Development
- Gradually take ownership of defined project scopes (budget, schedule, subcontractors)

Project Manager – Custom Residential Construction
Reports To: Production / Build Division Leader
Department: Production
Systems Used: Buildertrend (Operations), Adaptive (Financial Management)

Regular Hours: 7:30 am - 4:30 pm

Salary Range: $80k- $100k, depending on experience and completed projects

Position Summary

The Project Manager (PM) is the single point of ownership for custom residential construction projects from production handoff through closeout.

The PM is fully accountable for:

  •  Budget performance and margin protection

  •  Schedule execution

  •  Client experience

  •  Change order management

  •  Subcontractor coordination

  •   Financial accuracy between Buildertrend and Adaptive

This is a high-accountability role responsible for delivering projects on time, on budget, and at or above projected gross margin.

Core Responsibilities

 1. Job Ownership & Accountability

  •  Assume full responsibility for assigned projects

  •  Protect original projected gross margin

  •  Ensure job data accuracy in Buildertrend and Adaptive

  •  Escalate material risks to Division Leader early

  •  Maintain clean, organized documentation

The PM is the final decision-maker for the job within company thresholds.

2. Schedule Management (Buildertrend)

  •  Build and lock baseline project schedule

  •  Maintain accurate schedule throughout construction

  •  Review and approve 2-week lookahead (provided by Superintendent)

  •  Identify schedule risks proactively

  •  Communicate material schedule changes to clients within 48 hours

  • Attend keymilestone walkthroughs:

    • Pre-drywall
    • Cabinet stage
    • Pre-final

3. Budget & Financial Management (Adaptive)

  •  Review and confirm final budget at production start

  •  Ensure cost codes align between Buildertrend and Adaptive

  •  Review cost-to-date weekly

  •  Update forecast regularly

  •  Identify budget variances early (5% or company threshold)

  •  Create recovery plans when variances occur

  •  Maintain accurate contract value

PM is final approver of invoices.

4. Invoice & Cost Control

  • Approve invoices only after

    • Field verification by Superintendent

    • Scope confirmation

    • Budget review

  • Ensure all invoices are entered into Adaptive

  • Maintain accurate forecast at completion

  • Collect lien waivers as required

No invoice is approved without verification.

5. Change Order Management

  •  Identify and document all changes in Buildertrend

  •  Obtain pricing from subcontractors

  •  Define scope clearly and professionally

  •  Document schedule impact

  •  Obtain client signature before work begins

  •  Update Adaptive within 48 hours of signed CO

  •  Track and minimize CO aging

No signed CO = no work performed.

6. Client Communication

  •  Serve as primary point of contact for client

  •  Send weekly progress update every Friday

  • Communicate selection deadlines clearly

  •  Avoid verbal scope commitments

  •  Document all communication in Buildertrend

7. Subcontractor Management

  •  Award and manage subcontractor scopes

  •  Confirm scope alignment with budget

  •  Ensure subcontractor performance meets schedule and quality standards

  •  Address trade performance issues early

8. Quality Oversight

  •  Support Superintendent in enforcing QC standards

  •  Attend milestone inspections

  •  Ensure QC checkpoints are documented with photos

  •  Prevent trade stacking and quality shortcuts

9. Closeout Management

  •  Oversee internal and client punch process

  •  Ensure all COs are reconciled

  •  Confirm final invoices entered

  •  Verify final margin

  •  Ensure turnover package is complete

  • Transition job into warranty phase properly

The Carpentry Craftsman plays a key role in maintaining the high standards of craftsmanship,
performance, and customer experience expected in luxury residential homes. This position is
responsible for performing repairs, routine maintenance, and quality inspections across a variety of
home systems. The ideal candidate is detail-oriented, technically skilled, and able to deliver exceptional
service in a fast-paced environment.

Compensation: $22 - $28/hr, depending on experience

Key Responsibilities

• Perform service repairs, warranty work, and preventative maintenance on residential luxury homes.
• Diagnose and troubleshoot basic electrical, plumbing, HVAC, and construction-related issues.
• Conduct inspections to ensure systems and craftsmanship meet high-quality expectations.
• Document all work performed clearly and accurately within internal systems.
• Communicate with homeowners, subcontractors, and team members in a professional and
customer-focused manner.
• Work efficiently within established schedules and follow company processes and procedures.
• Collaborate with the Service Team Lead to prioritize tasks and identify areas requiring additional
attention.
• Maintain a clean, safe, and organized work environment on all job sites.

Required Skills & Qualifications

• Basic knowledge of electrical, plumbing, and HVAC systems.
• Experience with preventative maintenance and general home system troubleshooting.
• Strong attention to detail with the ability to work in a fast-paced environment.
